SP AusNet manages a $6.3 billion regulated asset base

Business problem: Informing and empowering staff throughout Victoria

Widely distributed workforce: SP AusNet operates its electricity and gas networks throughout Victoria. With more than 1500 employees located across the eastern states of Australia, SP AusNet recognises that effective internal communication is essential to its operational and commercial success.

Inflexible intranet: Until about 2006, SP AusNet used a custom-developed software application to provide its corporate intranet, the internal computer network that allows its employees to share and access information resources. Although the Web Media intranet was supported by its vendor, the system was inflexible because SP AusNet had to call in external technical support in order to make changes.

Low distribution of information: Bill Bridge, who manages the software application support for SP AusNet, said that requirement slowed down distribution of information to the organisation. “As an external vendor was required to make changes, we had to get quotes and times to deliver the changes,” he said. “There were additional costs and time delays because we were not able to add information to the site.”

Intralogic provides our Intranet, which is the most visible software application we have. It’s the first thing people see each day when they log on to our network. We use it for everything from information sharing and document management to notifying people of forthcoming events.

Why Weblogics: Intralogic gave SP AusNet control over its intranet

Intralogic selected by competitive tender: About 2006, SP AusNet conducted a competitive tender to replace the existing system with an Intranet that could better meet its needs. The company selected Intralogic, developed by Australian company Weblogics, because it offered SP AusNet the ability to maintain and update its own information without requiring external technical resources. “Intralogic provided out-of-the-box functionality that enabled us to administer the site ourselves,” said Bill Bridge. “Also, it was one of the most affordable solutions we examined.”

Intralogic offers off-the-shelf business process automation: Intralogic provides an off-the-shelf business Intranet that integrates business process automation, document management, knowledge management and collaboration. With no need for programming, Intralogic is simple to use and administer, with the ability to scale from small businesses to large multi-office or multi-brand businesses.

SP AusNet’s most visible software application: Bill Bridge said Intralogic had quickly become part of the corporate fabric of SP AusNet. “Intralogic provides our Intranet, which is the most visible software application we have,” he said. ”It’s the first thing people see each day when they log on to our network.”

Information sharing, document management, event calendars: “We use it for everything from information sharing and document management to notifying people of forthcoming events. Apart from field staff, our Intranet is used daily by every office-based person with a computer. This is the point of entry for our employees to access information from across all facets of the business. Our various systems, including HR and other employee databases, are all easily located using the Intranet.”

Distributed content management: “At SP AusNet, the ‘business owner’ of Intralogic is our Corporate Relations team. However, various sections of the business have control over their own pages, with the ability to manage and modify content. Intralogic gave us version control of documents on the site as well as implementing approval flows. By allowing content managers within the business to manage their own pages, we can provide the most up-to-date relevant information while reducing the costs to maintain the site.”

Quick access to rich content: The SP AusNet Intranet comprises several hundred individual pages, plus provides access to more than 13,000 documents, ranging in content from policies and procedures to corporate law documents, occupational health and safety information and technical details. The Intranet receives more than 300,000 “hits” a month, demonstrating its importance to SP AusNet’s information flow.

Three-year payback period: Intralogic delivered a return on investment in less than three years, which covered the actual implementation costs as well as expenses associated with information architecture design. “Most of the cost saving is related to not having to hire specific technical resources to update the Intranet,” said Bill Bridge.

Business Benefits: Intralogic evolves to meet emerging needs

Intralogic continues to evolve: In 2010, SP AusNet decided to upgrade from version 6 of Intralogic to the enhanced functionality in version 9 of the software.

Quick and easy upgrade to V9: SP AusNet implemented the new version of Intralogic in January 2011, after several weeks of planning and testing. The company’s Corporate Relations team also launched an employee awareness campaign before the rollout to ensure employees knew what to expect. “After we switched on the upgraded system, it ran very well and was well-received by staff,” said Bill Bridge.

Positive user feedback: “We are very happy with the way our employees responded to the upgrade. The user feedback has been very positive. We made sure we did the education process first because it’s such a prominent application for us.”

Faster searching and simpler customisation: “The biggest benefit for users is ease of searching and finding information. They now get even quicker access to the information they want. It also has a more individual look and feel because every user can now easily customise their home page by moving the sections or choosing which areas to display. While it was possible before, it is now much easier.”

Faster delivery of information: “Intralogic version 9 makes it easier for the 25-30 administrators we have across the business to look after their own pages. In turn, this increases how quickly we can get up-to-date information out to the business,” said Bill Bridge. “As well as being easier to search for people, documents and resources, Intralogic has a more aesthetically pleasing look, so people enjoy using it. Since our Corporate Relations team began publishing details of forthcoming events on our Homepage and now, other people in the organisation have started to put their own events there as well.”

Simplified workflows in V9: “Another benefit of the new version is that it simplifies workflows for activities like catering requests, ordering flowers or arranging cab charge vouchers. Previously, we had to physically program ASP forms in the back end of the system, with a separate database to store this information. In version 9 we can do it all using the forms that are built in to Intralogic. Now, instead of having to modify software code if a meeting room changes, we just maintain the system.”
