An integrated property and construction company, Parkview has worked closely with Weblogics over the past year on the upcoming release of Blueprint, implementing Blueprint across its offices nationally.
Blueprint gives Parkview greater control over the tracking and management of drawings, approvals, schedules, requests for information, variations, meeting minutes and other information, in real time. With Blueprint every document and piece of correspondence can be archived and its status tracked.
The problem: How do you link distributed documents to people?
Steven David, Parkview’s IT Manager, explains the need for Blueprint. “For over a year now we [Parkview & Weblogics] have been looking at new ways to make the system even better. When we originally implemented Intralogic we thought that we might be able to use the basic document control management as a de-facto transmittal system.
“As we installed, we began to learn more about how we wanted to manage transmittals. Rather than just using a series of excel spreadsheets and emails we wanted to do something a bit more sophisticated.
“We found that Intralogic is really great at storing documents and organising our communication. But how do you link those documents to a particular person or particular project and make sure that if you modify or change that document that they get notified? That is really important and that’s where the transmittal function of Blueprint extends to the next step.”
Communicate and Track External Subcontractors. On average, Parkview manages 10 to 15 large scale projects across NSW and Queensland at any one time. As projects typically span one to two years, there is a continual rotation of people and locations. In order to manage each location and the sheer number of people involved, Parkview required a system that could store and track external parties on a central database. This database would be vital for reference in current and future projects.
Mr David describes Parkview’s unique situation. “In a construction business, it is very different to other industries, whereby the mere physical space of the building is a constant. Rather, we walk onto a site, build something and then we’re gone. We don’t always stay in the one location so it’s very hard to manage the constant flow of information and people. What we found was that if we needed to say, contact a plumber based in Townsville for example, we were asking ourselves, so where are our people? How do we contact them? What are their phone numbers? Something that in another industry might be a simple task, becomes really difficult when you have 3,500 sub-contractors constantly rotating throughout your sites”.

Version Control. Crucial to effective management in the industry, version control ensures the most current version of all documents is in use.
“In construction it is all about the version of the document you are working with. If we are pouring a slab on a new building and the subcontractor is somehow using the old version of the drawings, we’ll have a jackhammer in the very next day destroying the slab, all because someone was working off old versions. There are huge costs associated if you don’t use the right version, delays from reworking directly impact our timeline and budget.
“Before Blueprint, we could upload the documents, but we didn’t know whether everyone had been notified that the new version was there. They didn’t know inherently to go to the portal and look for the new version all the time. That is where transmittals is so effective”, says Mr David.
Tracking. The transmittals in Blueprint enable team members and subcontractors to store and share drawings and specifications.
As some changes require the re-issuing of up to 50 - 60 drawings to more than 400 subcontractors both on and off site at any one time, the implementation of Blueprint speeds up the review process and eliminates inefficient paper based communications.
Documents and mail can also be tracked over the system to check their ‘status’ and identify bottlenecks.
Increased accountability. Transmittals let you know who has seen the latest version. When a document is superseded a transmittal is sent out to all parties. The previous version is archived within the system and the latest version made available.
Version control and an audit trail ensure both accountability and the safety that everyone is working from the most up-to-date version of each file.
Reduced Costs. Blueprint’s version control function will also help reduce disputes and delays, flagging potential issues before they impact budget or schedule. By enabling collobrative document authoring across all parties involved, Blueprint will also reduce costs by preventing any duplicated error.
Greater Control. With Blueprint, Parkview can now ensure that all data is secured on their own servers, rather than uploading design drawings and other information onto another site. The result is that Parkview can now organise their drawings on their own infrastructure and thus gain full control over the information. With Blueprint, there is no risk of drawings being lost, corrupted or mislaid, and no time wasting or costs involved in uploading drawings at the beginning of a project or offloading them at the end.
